About this Privacy Policy
Along with my Terms and Conditions, this policy explains how I collect and handle your information across all of my websites, social media channels, and other services and platforms. I might update this policy from time to time by publishing a new version here on this website. Please check this page occasionally to ensure that you are happy with any changes I make!
I am committed to doing my best to safeguard the privacy of my clients, users, and readers. This policy applies to personal data collected through this website and via third-party providers. I try to collect as little personal information from you as possible and I do everything I can to make sure that your data is as secure as possible.
What data do I collect from you?
Everyone who uses my services will have bits and pieces of information about them collected, stored and processed. However, I only collect the information that I need. I can’t support you in our wellness journey without information. So, when you use my services, I have to collect, keep, and sometimes share some personal data.
I collect information in two different ways:
Information you give to me voluntarily
The information you choose to give me might include comments you leave on my blog or personal data needed for you to use my services. For instance, I collect info about your health goals, your lifestyle, your dietary habits, etc, so that I can get to know you better and understand what will be the best wellness plan for you to reach your goals. I also collect information about your likes and dislikes so that I can understand who you are, and thus support you and encourage you better on your journey because I GET you. You are unique, and I need to understand that uniqueness to work really well with you. What’s important to remember though, is that it’s always up to you whether or not you choose to give me this kind of information.
Keep in mind that coaching involves a lot of informal communication. Texting, emailing, instant messaging, phone calls, social media posts and comments. I am not deleting every single thread of communication we engage into as we go. If you send me a photo or a message that I find really sensitive, or bothersome, I might delete it to make sure it does not come back at you. But most of the time, I keep everything, just the way I keep communication threads with my friends. BUT, I have passwords on all my devices and no one other than me, unless required by law or for business purposes, has access to my professional “stuff”.
Information generated or collected automatically
Some information is collected automatically from your computer or device as you use my services. For instance, stuff like your IP address, information about the device and browser you are using, the website URL you visited this website from, etc. I use this info to improve your experience and make sure you receive the content that’s most relevant to you. When you leave comments on the site, I collect the data shown in the comments form, and also your IP address and browser user agent string to help spam detection. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Cookies
I use cookies on my website. Here is why: I have a few pop-ups that will only appear when you visit the site for the first time, or when you show an interest in a specific topic. I don’t want those pop-ups to keep bothering you again and again after you have dismissed them once, or after you have engaged with them once. That is the cookies help. They tell my system that you have already seen a pop-up once and they keep the pop-up from showing up again and again for you. Most browsers allow you to refuse to accept cookies and to delete cookies. Feel free to check your browser’s version for more info. I personally don’t do anything else with your cookies. I only like chocolate chip cookies!
Why do I collect your data?
I only use your information when you’ve given me your consent, when it’s necessary to deliver the services you’ve requested, and for normal business purposes. For instance, I collect your name and email so that I can email you resources, articles, ideas, challenges… All kinds of things that I create or see out there, and which I believe can help you move towards your wellness goals. I collect your phone number when you make an appointment to make sure I can get in touch with you in case we get disconnected. You get the idea!
How do I use your data?
All the information you give me within a coaching relationship, I use within the terms of our coaching contract. Except as required by law, all information you share within a coaching relationship me will be held confidential unless you state otherwise in writing. Certain topics may be anonymously shared for training OR consultation purposes. No information allowing your identification will be shared.
Sometimes, I print out some of your info because I find it easier to work on paper. When I do so, I DO NOT print the pages with your name, date of birth, or any personal information that could allow anyone to identify you. Same when I take notes. I keep everything anonymous and only identify data with first name or initials.
Who do I share your data with?
I share some of your information with a few 3rd parties who provide me with a variety of different services that support the delivery of my own services. I do my best to choose trustworthy 3rd parties. Most of the time, when your data is shared with a 3rd party provider, you usually know that right away, because you are actually using that 3rd party provider to give your information in the first place. For instance, when you fill out a Wellness Assessment Questionnaire, you know right away that it’s a Google Form. The 3rd party is Google. The data will be stored in Google. When you sign up for my email list, you do so through MailChimp. Your data will be stored in MailChimp. When you buy one of my services, you pay via Paypal. Your payment info will be handled by Paypal. Pretty straightforward, right?
Here are a few of the main 3rd party providers I am currently using, and links to their privacy policies. It is hard for me to keep this list up-to-date as possible, but at least, seeing this list gives you a good idea of what information might be shared with 3rd parties:
- Google (Google Forms, Google Sheets, Google Calendar…): https://policies.google.com/privacy
- MailChimp (mailing campaigns, opt-in forms…): https://mailchimp.com/legal/privacy/
- SimplyBookMe (to schedule appointments): https://simplybook.me/en/policy
- Paypal (to pay for services): https://www.paypal.com/us/webapps/mpp/ua/privacy-full
- HelloSign (for contracts): https://www.hellosign.com/legal/privacy
- Thinkific (for on-demand courses): https://www.thinkific.com/privacy-policy/
I also use other WordPress plug-ins, providers of email management and distribution tools, providers of online cloud storage services and other essential IT support services, providers of security and fraud prevention services, providers of software platforms assisting me in communicating or providing customer support services to you, providers of data aggregation and analytic software services, as well as tracking tools that enable me to effectively monitor and optimize the delivery of my services. Also, comments you leave on my blog may be checked through an automated spam detection service.
I always do my best to choose popular and well reviewed 3rd party providers, in order to make sure that they have high privacy standards and are kept up-to-date with everything that’s going on around the world.
Additionally, articles on this website may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if you were visiting the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.
What if you want to delete your records?
I only keep your data for as long as I need it, or as long as I am required to for legal reasons. I treat data differently depending on the reasons why I collected for in the first place, but you can ask me to delete your personal data at any time.
If you want me to delete information I have about you, it’s pretty simple. Send me an email at stella[at]allonzcoaching.com and tell me exactly what you want me to delete: for instance text messaging history? Email address and name? I will delete everything you tell me to delete, as long as:
- the information can be linked directly back to you;
- I have access to that information;
- you don’t have access to that information yourself and thus can’t delete it on your own;
- keeping that information is not required for legal purposes (such as invoices for taxes and such).
By deleting I mean: shred if it’s paper. Trash if it’s digital.
If you have access to data that you want deleted, feel free to delete it yourself, I won’t take it personally!
Want more?
I hope I have covered everything. If you have questions, please reach out to me at stella[at]allonZcoaching.com.
If you consider that the way I treat your personal information infringes data protection laws or just does not sit well with your idea of privacy, please talk to me. Let’s have a chat and see what we can do about it!
